Replace the spreadsheet

Retire the spreadsheet

One tool your whole team uses, built around the way your business already runs.

Replace your spreadsheet with custom software

Most businesses start on a spreadsheet, and for a while it works. Then the team grows, the tabs multiply, and the one person who understands it becomes the only person who can fix it.

The goal is simple: fewer hours spent copying, checking and fixing, and more spent on the work the sheet was meant to support.

From spreadsheet to software

Custom software that replaces the spreadsheet. Built around the way you already work.

We map the sheet

Every tab, column and workaround, and the people who rely on them.

  • Who uses which tab
  • What gets typed twice
  • Where it breaks

Your data, moved over

Records cleaned up and carried across, so nothing is lost.

  • Duplicates found and merged
  • One format for every date
  • Nothing left behind

One tool for the team

Screens for each role, and the same record for everyone.

  • Front desk to owner
  • Live, never a copy
  • Reports that build themselves

Built to be compliant

Access by role and a record of every change, for the rules in your industry.

  • You decide who sees what
  • Every change recorded
  • Backed up and monitored

Signs you've outgrown the spreadsheet

When a spreadsheet starts to cost more than it saves. Eight signs we see most.

Copies of copies

FINAL, FINAL (2), and a version nobody trusts.

Typing it twice

The same details in the sheet, the calendar and the invoice.

One person who knows

Only one person can fix it when it breaks.

Broken formulas

A #REF! in the total, and nobody sure since when.

Colours that mean things

Yellow means pending, unless it means something else.

Hard to share safely

Everyone sees every column, the private ones included.

Reports built by hand

Hours each month pulling numbers into another sheet.

No record of changes

Nobody can say who changed what, or when.

From spreadsheet to software

Custom software, one process at a time. So your team keeps working while we build.

  1. We start with the part of the sheet that costs the most time.

    Choose
  2. Shadow

We watch the work as it really happens, shortcuts and all.

  3. Each person sees what their job needs, and nothing more.

    Design
  4. Build

Built with your real records, so the team can try it early.

  5. The team moves over in one go, the sheet kept as a backup.

    Switch
  6. Grow

Once it's settled, we take the next tab off the sheet.

Replacing a spreadsheet, explained

When to move from a spreadsheet to software. And how to do it without stopping work.

When a spreadsheet stops working

Spreadsheets are brilliant for starting out. They stop working when several people edit the same file, when the same details are typed into several places, or when one broken formula can quietly change the numbers.

At that point the sheet costs more time than it saves.

Custom software or an off-the-shelf tool?

If an existing tool fits how you work, use it, and we'll tell you so. Custom software makes sense when your process is what sets you apart, or when you'd need three tools and a spreadsheet to cover it.

Switching without stopping work

The team keeps working in the sheet until the new tool is ready, then moves over in one go. Nothing is lost along the way, and the old sheet stays as a read-only copy.

After the switch

We host, back up and maintain the software, and add to it as the business changes. When the next process is ready to leave the sheet, it joins the same tool.

Questions and answers

Still have a question?

Ask us anything. We'll answer it straight, even if the answer is that we're not the right fit.

  • Yes. The spreadsheet is often the best brief there is: it shows exactly what the team tracks and how.

  • No. We move every record across, check it against the sheet, and keep the sheet as a read-only copy.

  • Yes. Everyone works from the same live record, with access set by role.

  • Usually, yes. We connect to the tools that already work and replace only the spreadsheet.

  • Yes. Access is set by role, every change is recorded, and the software is built to be compliant with the regulations in your industry.
